What is Clubnight?
Clubnight is a weekly chance to meet and chat with friends and other club members in the informal setting of a local pub or hotel.

Clubnights are held on Tuesday nights every week in the bar of local Basingstoke pubs or hotels. Club Night is an informal social gathering so you can arrive at any time after 8.30pm and there is no dress code.

At least one of the members of the Club Committee will generally be at the Club Night to act as the duty host for the evening. The host is at Clubnight to help introduce new and and prospective members to existing members of the club. To find IVC in a pub, look for the club bulletin on the table.

 
What happens at Clubnight?
One of the main practical reasons for having a Club Night is so that members have an opportunity to book themselves into other members activities.

Many members who are organising forthcoming events will use clubnight to promote their event to other members during the evening. Clubnight also provides event organisers with a great opportunity to collect any deposits or payments for tickets etc where money has to be paid in advance for an activity.   This is why the booking deadline for a particular activity will often be set to correspond with a Clubnight date.

Using Club Night to plan events
Another important aspect of Clubnight is that it provides members with the chance to get feedback from other members about any events they may be considering organising. Many of the best ideas for new activities in IVC often start from discussions between members at our clubnights. With the help and encouragement of other members, these discussions can often lead to a firm proposal for an event from one or more members.

The Activities Officer and Liaison Officer at Clubnight ...
The ideas for all proposed events are entered by members into either paper or web based event forms which then go to the Club Activities Officer for checking. The Activities Officer will check that all the necessary details for the proposed event have been supplied by the member who is organising a particular event.

The Activities Officer will check the club events diary that is brought to Club Night and make sure that there is no clash with similar events organised by other members or any major events organised by the Club Committee. Clashes and shortages of events are usually resolved at Clubnight where possible or by phone afterwards.  If there are half a dozen proposed activities one night and nothing on the next, then some re-scheduling will often be agreed among the organisers via the Club Activities Officer.

The Club Activities Team uses the ActivityForum event and membership management software over the web to assemble the entries for the bulletin into the appropriate order and format ready for inclusion in the bulletin. The Activities Officer will normally type most of the events into this system ready for the Bulletin Editor to complete the production of the bulletin.

The Association Liaison Officer (ALO) also has access to the ActivityForum system to enter the details of any events organised by other IVC Clubs to which Basingstoke members are invited to attend. The ALO will also often use Club Night to promote and often take bookings for inter-club events that are available to Basingstoke members.

The Bulletin Editor at Clubnight ...
Details of all the future Club activities entered by the Activities Officer and Association Liaison Officer are extracted from the ActivityForum system by Club Bulletin Editor, who assembles the event text into a bulletin in MS Word and gets it printed.   Distribution of the next months Bulletin often happens at the last Clubnight of the month with any remaining bulletins being posted to members.

We always remind members that if they want support for their own activities, then they must reciprocate by supporting other members events.
